What is a Tech VA and How They Help Your Business

I love this question. Because I get asked all the time. Basically, what makes a tech VA different from a VA? VA is a term that gets tossed around a LOT in the online space. And really, it can mean anything.
If you really want to get technical about it see what I did there 😉, a VA or virtual assistant is ANYONE who does ANYTHING for you virtually. No matter what they call themselves.
How do you know if you need a tech virtual assistant and what exactly can they do for you?

What Is the Difference Between a VA and A Tech VA
Generally speaking, a VA (Virtual Assistant) handles everyday administrative tasks for your business. This could be customer service, email management, or social media posting, just for starters.
A Tech VA, on the other hand, handles all the tech behind your business. Website updates (and maybe build one if that’s in their background), setting up sales funnels and sales pages, managing email lists, putting courses together… I could go on.
But you get the idea.
Tech is an area I see online entrepreneurs struggle with all. the. time.

Having a Tech VA on your team can make all the difference when it comes to managing your business.

Squarespace Updates
Ah yes those pesky website updates. They may not come around often but when they do, they seem to sit on the to-do list forever, right?
That’s no good. For you, or your clients, or your SEO. This is the perfect reason to have a Tech Fairy Godmother ✨ in your back pocket.

Automations and Systems
Automations and systems may be one of my favorite things. There is nothing greater than knowing people can sign up with you without you having to lift a finger.
Contract, invoice, pre-work, calls scheduled… all done automatically, you just show up and serve your new client.
But admittedly, automations can make your brain hurt if you’re not sure what you need or what program is the best for you. Hiring out to get this set up in the most efficient way possible may be the best thing you do for your business.
Sequence and Automation Set Up
In the simplest of terms, your sequence and automation set up is the automation your new email list subscribers go through when they join your list. it involves sending them the free gift you promised them and adding them to your welcome sequence.
No idea what any of that means? That’s ok! A Tech VA will.
Adding or Updating Your Course Content
I know you love creating the course content. And are so excited to get it out into the world. But the thought of finding, designing, then managing a course platform has you about to pull your hair out, amiright? That doesn’t have to be the case, my friend.
There is someone out there who can help you take that amazing content, organize it, upload it, and update it. So your customers always have the most current content available.
Graphic Creation
Canva is an amazingly simple tool for graphic creation. But, I know for me, graphic creation can take up a lot of my time. It’s not my zone of genius and I spend way too much time trying to decide if something looks good. If that sounds like you, I’m here to tell you there’s someone out there who can help you with this.
Think about it: Pinterest, IG, Facebook, website, all the images done for you and to your brand specifications!
Landing or Sales Pages
Oh the fun landing page! This is the first thing a lot of business owners like to hire out for help with, and I don’t blame them one bit.
The landing page can be for your free offer or a sales page for your course or coaching program. Regardless, it’s an important piece of your business. Depending on your tech VA’s skill set, they can help you write and design the page. Or take the content you’ve created and put it into your website or landing page program, Squarespace or Leadpages, for example.
Pinterest Content
Pinterest is an incredible marketing tool for business owners. If you’re not using it already, you really need to be.
It’s not another social media and can be somewhat set on autopilot once you have some content you can add consistently. This is another great first task to hire out for if you’re not familiar with Pinterest for business.
SEO
SEO, search engine optimization, is absolutely key to the longevity of your content and a consistent flow of leads to your business. But it can also be massively confusing to learn and set up.
A tech VA that has an understanding of SEO and what Google looks for can help set up SEO on the back end of your website so leads are finding you for a change.
What to Look For in a Tech VA
Can you find someone who can do all of these tasks? Maybe.
But I’d warn against finding that “unicorn” virtual assistant or tech virtual assistant who can do everything. Why?
Because you’re likely setting yourself up for disappointment. Many people probably can do all or most of the things on the list above. But, they most likely aren’t experts in everything.
I can make graphics in Canva and I can show people how to use the software. But I’m by no means a designer. My strength is in tech, systems, and automations.
So if you hire me to set up automations for you, great! And also to do some graphics, ehh. I probably can help you with the graphics. But, they may not be as good as they could be if you had a VA or tech VA who’s strength is graphics.
Got it? Good!
So what should you look for in a tech VA? Well, that really depends on what you need help with right now. Shocker, right?
Before you start looking for someone, you want to think about what projects you want help with right now.
→ Are you setting up a system or automation so a part of your business runs on autopilot?
→ Are you about to launch a new course and you need help getting the content into Kajabi or Teachable?
→ Do you need help with website updates?
→ Or do you need a Pinterest strategy?
A general VA may be able to help you in some of these areas. A Tech VA, being more specialized, could help you with any of them, since these are all primarily tech based. But if you need something very specific, like graphics or Pinterest, you may want to start by finding someone who’s an expert in those areas.
Most business owners looking to hire for the first time aren’t necessarily looking to hire a full time or long-term team member. A good place to start is with someone who offers project, short term retainer package options, or my favorite, day rates. I’m not a fan of hourly work, but you may also be able to find someone who works with an hourly rate.
For example, you could find a tech VA to hire for the week (or a day 😉) to help you set up your new automations. You pay them, they set it up, it’s off your plate and helping your business but you don’t have to worry about continuing to pay them if that’s all you needed help with.
If the working relationship was good, you can always hire them again for another project or talk to them later on about a more consistent working relationship. This has happened with several of my clients!
It’s all about finding someone who is confident in helping you with your projects and that you have a great working relationship with.

A general VA is someone who most likely helps with general administrative tasks like email management or customer service where as a tech VA is more specialized in setting up systems and automations, funnels, and website updates, for starters.
A tech VA is a great person to have in your back pocket to help with those tech tasks that inevitably pop up. You may be able to knock them out yourself, but how long is that going to take you away from your clients? 😉
While some tech VAs are super specialized, most offer services such as website updates, systems and automations, sales funnels, landing page set up, and so on. The biggest thing here is if you have a project where you need multiple systems to talk to each other, you’ll likely want someone who’s specialized in the tech.
When you’re ready to hire someone, you want to look for someone who’s well versed with the software and systems you work with. You don’t need to look for someone to hire full time. If you work well on the first project, you can always go back to them with more work as it pops up without worrying about taking on a team member you may not be able to support yet.
